New features:

📚 Messaging

  • Custom staff groups:

    -- Admins can create custom staff groups, change their names or members, and archive them;

    -- Staff can send messages on behalf of a group they belong to;

    -- Conversations with archived groups remain available to read, but new messages cannot be sent;

  • Attachments and message formatting:

    -- Staff and parents can attach photos, GIFs and documents. On supported phones and tablets, they can also take and attach a photo directly;

    -- Upload progress is displayed for each file. Messages can be sent once all uploads are complete. Failed uploads can be retried or removed, and clear warnings appear when files exceed the upload limits;

    -- Photos appear directly in the conversation. Other attachments display their filename and size and can be downloaded;

    -- Attachments are also supported in new announcements, bulk messages and staff discussion comments;

    -- Messages and announcements support text formatting, bulleted and numbered lists, links, and a searchable emoji picker;

    -- Press Enter to send a message, or Shift+Enter to start a new line;

  • Replies and message deletion:

    -- Replies include a quote of the original message. Select the quote to jump to and highlight that message;

    -- After jumping to an older message, scroll to load earlier or later messages. Select “Most recent” to return to the latest messages. The button changes to “New messages” when new messages arrive;

    -- Senders can delete their own messages after confirmation. The content is replaced with “Message deleted”, and replies and reactions are no longer available for that message;

  • Reactions:

    -- Users can react with a quick emoji or choose another from the emoji picker. Reactions appear below the message and show who reacted;

    -- Staff reactions use the personal or team identity selected for messaging. Removing a team reaction requires confirmation because it removes the reaction for the whole team;

    -- Users can manage reaction push notifications through the “Message Reactions” setting;

    -- Reaction activity updates, real-time removal and some mobile notification scenarios still need further verification;

📚 Staff Discussions

  • Discussions are enabled by default for announcements aimed at staff. Parents cannot see staff discussions;

  • Announcement cards display attachment counts, total comments and new comments;

  • Staff can add formatted comments, emoji and attachments, choose which team to post as, and reply in threads;

  • Comments can be sorted, and more comments or replies can be loaded as needed;

  • Authors can edit their own comments. Admins can close a discussion to stop new comments and reopen it later;

  • Staff can follow or mute discussions and manage discussion toasts through the separate “Staff Discussion Toasts” setting;

  • Opening unread threads and clearing unread badges have been verified. Returning to the same list position and some notification scenarios still need follow-up;

📚 Dashboard and Reports

  • Expiries:

    -- A new “End Date” column shows when a medication ends;

    -- Date filters and the “Expiring in the next 30 days” count now consider both the medication’s end date and expiry date;

  • Payroll Report:

    -- A new “Time Off Hours” column combines approved leave hours within the selected reporting period;

    -- If a leave request overlaps the reporting period, only the hours within that period are counted;

    -- Gross-pay calculations are not included in this change;

  • Live Roll Call:

    -- View staff and children signed in at a selected date and time, grouped by room or space;

    -- Export the report as a PDF;

  • Attendance reports:

    -- Age-group filters are now available in “Student SignIn Detail”, “Daily Student Hours” and “Student Hours Overview”;

  • Revenue Pay Summary:

    -- Filter revenue by “All”, “Personal Sponsor”, all third-party sponsors, or specific third-party sponsors;

    -- Multiple sponsors can be selected;

📚 Finance and Forms

  • Tuition invoice line items in the Parent Portal now include the child’s program name, making it easier for parents to understand their charges;

  • Registration, inquiry and tour forms now support redirect links to help with marketing tracking;

📚 Center Setup

  • The center form now includes a region-based “IANA Time Zone” selector, allowing locations such as Calgary and Denver to use different time-zone rules;

  • The legacy time-zone field remains visible during the transition. Saving and retaining the new selection still needs confirmation;

🛠️ Platform Optimizations & Bug Fixes:

  1. Onboarding: Fixed the Bank Info checklist status after PAD banking information is saved;

  2. PAD Notifications: Improved tracking and notifications when PAD is disabled;

  3. Refund Reconciliation: Protected refund Credit Memos from unrelated invoices and improved error messages. Existing affected records still need correction;

  4. Parent Finance: Clarified balances and removed payment buttons from third-party sponsor items;

  5. Email Validation: Improved special-character handling to prevent account-update errors;

  6. Schedule Templates: Added a full-page editor and improved saving and navigation. Unsaved-change protection when switching sub-tabs still needs a fix;

  7. Report Errors: Added clearer messages for failed requests and connection problems;

  8. Organization Setup: Removed organization-level time and time-zone fields and updated the form;

  9. System Performance: Improved page loading performance across the system, particularly in the Dashboard, Attendance, Families, and Finances modules.

🚀 Product Update: October 02th, 2026

📚 Reports - Attendance

  • Added an Absence Type field to the form;

  • Added a Notes/Symptoms column to display notes provided by parents when submitting an RSVP, including symptoms for illness-related absences;

📚 Dashboard - RSVP

  • Organized the RSVP section into two tabs: “Absences Reported” for reported or verified absences and “Absences to Verify” for absences awaiting confirmation;

  • The “Absences to Verify” tab lists children scheduled to attend on the selected date who have not yet signed in. The date defaults to the current date;

  • The list can be filtered by group, with “Verified Absent” and “Attempted Contact” actions available beside each child’s name;

  • Verified Absent:

    -- Allows staff to record confirmation that a child is safe and will not be attending;

    -- An absence reason is required. Selecting “Sick” displays an additional Symptoms field for public health tracking;

    -- Once verified, the child moves from the “Absences to Verify” tab to the “Absences Reported” tab;

  • Attempted Contact:

    -- Allows staff to record contact attempts that did not result in confirmation of the child’s safety and absence, such as leaving a voicemail or sending an email;

    -- The child remains in the “Absences to Verify” list, and the status displays “Attempted (1),” with the count increasing for each recorded attempt;

    -- A “Last attempt” timestamp beside the child’s name helps staff track when to follow up;

    -- A contact history icon allows staff to view all previous attempts and the details recorded;

📚 Staff

  • Schedule:

    -- The “Mark as covering another room” menu now lists all rooms on the schedule, grouped by category and displayed with their names and colors. A search box is available for longer lists;

    -- Rooms with the same color can be easily distinguished by name;

    -- Improved the right-click menu layout with consistent spacing, clear section headings, and aligned controls for colors, breaks, flags, covering staff, notes, and actions;

    -- The menu opens next to the selected cell, including near the edges of the schedule grid and at zoom levels from 10% to 200%;

    -- The right-click menu remains unavailable in read-only views, including shared schedules viewed by room staff;

    -- Schedules and templates can be opened in a larger pop-up window;

  • Smart Assist:

    -- Added an option to display the average attendance across all operating days in the past 60 days, regardless of weekday. Closed days and holidays remain excluded;

    -- Registered headcounts and recommended staff counts are displayed in both modes;

🛠️ Platform Optimizations & Bug Fixes:

  1. Staff Schedule: Enlarged the right-click menu for shared schedules to improve readability and ease of use;

  2. Client and Admin Sign-Up Pages: Fixed a vertical overflow issue to ensure the full sign-up form remains visible;

  3. RSVP Report: Children who have signed in no longer appear on the report for the current date. Added “Absent RSVP” and “Transport RSVP” checkboxes to filter by either or both categories;

  4. Parent Invoices: Merchant fees now appear as a separate “Merchant Fee” line on parent invoices, including PDF invoices emailed to parents;

  5. Credit Card Payments: Fixed an issue where merchant fees were not included in payments when a center had enabled passing credit card fees on to parents. Parents are now charged the invoice amount plus the merchant fee, covering the fee charged to the center up to a maximum of 2.4%;

  6. Incident and Health Journals: Fixed an issue where parents were not prompted to acknowledge incident and health journals when the center had report acknowledgment enabled.

📚 Staff Scheduling

  • Time Off Summary Report: Added a new report to the Reports module, providing administrators with a comprehensive overview of staff time off—including Vacation, Sick, Personal, Leave, and Other—within a selected date range to help track usage and identify center-wide patterns;

  • Staff members and administrators can export a printer-friendly PDF of a daily schedule from the Active Schedule tab or a schedule template from the Templates tab;

Staff - Smart Assist

  • The SMART ASSIST toggle is available on the Templates tab, Active Schedule tab, and in the Template Editor;

  • For the selected date and room/group, SMART ASSIST shows a breakdown by time interval alongside the schedule grid;

  • For each time interval, the panel displays:

    --Expected — predicted average headcount based on 60 days of historical data, with a Min–Max range;

    --Registered — the number of children scheduled for that group and interval;

    --Recommended Staff — the suggested staff count based on ratio rules;

🛠️ Platform Optimizations & Bug Fixes

  • Onboarding – Allergies and Medical Conditions: Updated the mandatory fields for allergies, medical conditions, and medication permissions. Parents must explicitly address these items during online onboarding so their responses are documented for licensing compliance;

  • Absences – Symptoms: When “Sick” is selected as the absence reason, a Symptoms field is required on both the parent and admin RSVP forms. Symptoms are saved with the RSVP and displayed wherever the absence reason appears;

  • Registration Proposals: Fixed an issue where proposal generation returned an empty list without an error for students aged 16 or older. Their proposals can now be confirmed through Bulk Proposals or the per-row Register All and Register 1st buttons; 

  • Accounting Catalog: Fixed an issue in Setup > Organization > Accounting Catalog where a loading spinner appeared while typing a new item name. Trailing spaces are no longer removed automatically;

  • Payment Receipts: Monthly and yearly tax receipts now reflect the payment’s actual status. While a payment is being processed, the portal and receipt show Processing; once it completes, they show Paid. Rejected payments show Rejected on the receipt. Parents can download receipts at any payment status;

  • Staff Calendar: The row corresponding to the current time is now highlighted, making it easier to see each room’s duty status at a glance.
