How to Use the Attendance Cards View
This document explains how to use the Attendance Card view in ChildFriendly to pin rooms, understand licenses and ratios, sign children and staff in and out, move teams between spaces, use group filters, mark napping, search for people, and view key child and caregiver information.

Step 1: Access the Attendance Card View and Pin Frequently Used Rooms
Ensure you are in the Attendance module and switched to Card View, which is optimized for tablets and mobile phones. Rooms and spaces display as cards on the screen. To keep your most-used rooms (for example, Ladybugs or Playground) at the top of the list, pin them.
To pin a room, select the pin image at the top of the room card.

The pinned room will then appear at the top of the screen for quicker access.
Step 2: Review Room Summary, Teams, and Licensing Status
Each room card shows a summary including:
Number of staff and children currently signed in (indicated by small icons).
Team size, displaying:
The current number of children signed in to that team.
You may have multiple teams in a single space;
About Teams: Teams are your digital tool for maintaining safety and regulatory compliance in shared environments. Even when multiple groups share a large space—like a playground—licensing requires strict adherence to Maximum Group Size. By organizing your children into Teams while using that space, you clearly designate which staff members are monitoring which children. This ensures that every child is accounted for within their max group size and that your records are always 'inspection-ready.' If a Team reaches its maximum capacity, simply create a new one to keep your ratios and max group size compliant.

Clicking on a team icon opens a box listing all students and staff signed into that team.

Click the X button to close the box.
The room card also shows the license type (for example, daycare). If there is a mixed range of children with different license types (for example, one team with a daycare license and another with an OSC – out of school care – license), the room will display as a mixed license and the room card will be colored yellow. Yellow is a warning that a mixed license is present.

If a room turns red, this indicates a compliance issue (such as ratio problems or other regulatory issues) that must be addressed immediately.

Step 3: Create a New Team and Sign In Children or Staff at the Start of the Day
If you are signing someone in at the beginning of the day and no team exists yet in that space, or you wish to create a new team in a space, click the Add Team button.

Within the new team, click the plus (+) button beside either the Students or Staff section, depending on who you are signing in.

Search for the student or staff member you wish to sign in, then select the checkbox beside their name.

Click the Add button to add them to the team, then click the Next button.

If you are signing in a staff member, you must select the task they will be performing in the room (for example, childcare). Select the appropriate task for that staff member. When all details are correct, click the Sign In button to complete the process.
The task selection is important for record keeping and items such as wage top‑ups, as pay may differ depending on the task performed.

Step 4: Add Staff or Children to an Existing Team
To add children or staff to a team that already exists in a room:
Click directly on the team you want to update.
You will see three options: Add, Sign Out, and Move. Click the Add button.

Find and select the person you would like to sign in, then click the Next button.

If you are signing in a child, you must select the authorized member (ie. guardian) who is dropping the child off. Choose the correct individual, then click Sign In.

Step 5: Use Group Filters to Speed Up Child and Staff Sign‑In
You can speed up signing‑in multiple children at once by filtering children (and staff) by group so that only relevant names appear.
First, open the room you want to work with—for example, click Add Team in the Raccoon Room card—then click the Add button.
In this example, you only want to find children in the Raccoons group. Click Select Students.


Next, click the lines (filter icon) in the top‑right corner.

A list of all groups appears. Select one or multiple groups as needed, then click outside the filtering box to close it. The list now shows only children for the selected group(s).
Select the child or children you want to sign in, then click the Sign In button.
The same filtering process can be used when signing in staff.
Step 6: Mark Children as Napping and Monitor Ratios
To quickly indicate that children in a room are napping, click the Nap symbol on the room card.

A small “Zzz” symbol appears near the top of the space, showing that children are now napping. You can toggle off when the nap is over.
When children are napping, the ratio for the space will change automatically depending on your province or state nap time regulations (for example, from 1 staff : 6 children to 1 staff : 12 children).
If ratios lower, often this creates extra staff in the room that is no longer needed in ratio. This will be display as a blue “extra staff” icon will appear, indicating that there is a staff member who could be reassigned elsewhere if needed.

Step 7: Search for a Student or Staff Member
In the event you need to quickly find exactly where a child is located in your center at the moment, use the search bar at the top of the Attendance Card view. This is especially useful at pickup time—for example, if a child from your homeroom is currently playing in the gym with another group, the search will immediately show you their location on the screen.

Step 8: Move Individuals or Entire Teams Between Spaces
To move staff or children to different spaces within the center:
Click on the team that contains children or staff which you want to move (or search for them in the search bar), select the individuals, then select the Move button.

If you want to move everyone in that team, click the Select All box.

Remember that if you are moving the entire team, you must click Select All under both the Children and Staff sections.
Next, choose the destination space:
If there is already a team in the destination space and you want to add the children and/or staff to their team, click directly on that existing team.
If you are moving an entire group and effectively want to create a new team, select Create New Team in the destination space.

Once the destination is selected, click Move to complete the transfer.

Step 9: View Child Details, Warnings, and Caregiver Information
To view more information about a child:
Search via the search bar or open the space team where the child is currently active by clicking on its card.

Underneath each child’s name, you can see their assigned homeroom group. Click on the child’s name to open their details.

Here you can view information such as:
Date of birth
Medications required
Health issues or food allergies
This information is view‑only; the only item you can edit here is the child’s photo.
You can also see information about parents/member, including their status and authorization. If a parent’s name appears in red, this indicates a flagged status. You can click the member to view more details on why they are flagged ie. a court order on file indicates they can only pick up on mondays.

Additional symbols may also appear by the childs name in the attendance view. These icons provide instant situational awareness, particularly important for subsititue or floating staff who may be less farmiliar with each individual child.
Prohibited meal symbol – you are to replace a certain meal on the menu with an alternative, such as a vegitarian option.
Medication symbol – alerts you to medication on file for that child.
Warning symbol for family member – indicates that a family member is flagged for pick up.
Medical allergy symbol – indicates an allergy (for example, nuts) or a medical condition (for example, asthma).

Step 10: Sign Children and Staff Out of the Center
To sign a staff or child out:
Search in the bar or click on the team where the child or staff member is located and verify that the correct person is listed.
Select the individual(s) you want to sign out. To sign out everyone in the team, click Select All.
If you are signing out a child, you must select the authorized person who is picking up. If the person appears in red, confirm that they are allowed to pick up the child. The quickest way is to select the parent in red and click on the person shown to the right to open a pop‑up with the details and authorization notes.Once you have confirmed the correct caregiver and selected the person to sign out, click the Sign Out button.

The child or staff member will now be signed out from the daycare in the Attendance Card view.
