How to Mark a Student as Absent
This process explains how staff can mark a student as absent either from the center or from school bus pickup using the RSVP section of the student’s profile. Absences can be one-time, extended (e.g., vacations), or recurring, and will notify the appropriate staff, including bus drivers.

Step 1: Locate the Student Record
To begin, locate the student either from the Attendance module (by searching signed-out students) or from the Families module. You can use the filter icon to quickly search for the student.

Open the student’s profile.

Step 2: Access the RSVP Tab
Once in the correct student file, click the RSVP tab to manage absences.

Step 3: Start a New Absence Entry
Click the green plus (+) sign to add a new absence record.

You will see two options:
Absence – absence from the center
School – absence from school bus pickup (used to notify the bus driver for before/after school care that the child will not be there for pickup)
Step 4: Create a Center Absence
To create a new center absence, ensure you are in the Absence section.

Enter the start date of the absence.

If this is a one-day absence, the From and To dates will be the same.

For an extended absence (e.g., a week-long vacation), adjust the From and To dates accordingly.
From the Reason for absence dropdown, click the arrow and select the appropriate reason (Sick/Illness, Appointment, Vacation/Holiday, Weather/Transport Issue, or Other).

Add any relevant notes in the Notes field, if applicable.
If this is a recurring absence (for something that happens on a weekly basis), turn on the Recurring Weekly toggle and select the specific day/s on which it recurs.

When all details are entered, click Save to record the absence.
You will now see the center absence listed in the RSVP section.

Step 5: Create a School Bus Pickup Absence
To create an absence specifically for school bus pickup, follow the same initial steps as for a center absence, but select the School option instead of Absence.
Select the appropriate date range for the bus pickup absence.

In this example, the child is away for a week for a vacation.
Enter any notes as needed (e.g., reason for not needing pickup).

Click the Save button to confirm the school bus pickup absence.

The bus driver will now be notified that the child does not need to be picked up for that period.
Step 6: Verify the Recorded Absence
Use the filters in the RSVP or absence view to confirm that the absence has been recorded.

Apply the desired filter criteria, then click Apply to view results.

You should now see the newly created absence listed.
Please note that, in most cases, parents will mark students as absent through the parent portal, but admin staff can also manage absences here in the RSVP section when needed.
