How to Run the Medical Care Report

This document explains how to access, filter, review, and export the Medical Care report within the Safety Reports section. Use these steps to quickly view children’s medical and safety information, including allergies, medications, and prohibited meals.

Step 1: Open the Safety Reports Tab

Ensure you are in the Reports module of the system. Then navigate to and click the Safety Reports tab.

Step 2: Access the Medical Care Report and Select Dates

In the Safety Reports area, select the Medical Care tab. This report provides an overview of children’s medical and safety care details such as immunizations, allergies, meal preferences, medications, and more.

Choose the date range for your report:

  • To run the report for a range of dates, select a custom date range.

  • To run the report for a single date, select the specific date.

After selecting the date or date range, scroll over if needed and click Apply to generate the list.

Step 3: Filter the Report by Group

Once the list of all children for the selected date appears, you can narrow it down by group.

Open the Group dropdown.

From the list, select the group you wish to filter by.

Click Apply again to update the report so only children in the selected group are displayed.

Step 4: Review Core Child Information and Basic Filters

Review the key columns for each child, which may include:

  • Child’s name and preferred name

  • Date of birth

  • Photo (if available)

  • Current group

  • Immunization status (e.g., up to date)

  • Allergies and medical conditions

In the columns, you can click the arrow to sort, such as sorting the Allergies & Medical Conditions field so that that children with allergies or medical conditions appear at the top of the list.

Step 5: View Additional Medical Details and Filter by Prohibited Meals

Scroll horizontally across the report to view additional information, such as:

  • Medications

  • Special needs

  • Prohibited meals

Use the filter option to highlight items such as children with specific meal restrictions.

If needed, filter by a specific meal type:

  • Enter the desired meal type (e.g., dairy, pork) in the provided field to display only children who have that particular prohibited meal.

Step 6: Check Flagged Members

Continue scrolling to locate the column for flagged family or portal members. Any child who has a flagged family or portal member will be indicated in this column, allowing you to quickly identify and review those records.

Step 7: Export the Report for Offline Use

When you are satisfied with the filters and view, export the report for offline access or record keeping:

  • To create a printable document or maintain a paper record, export the report as a PDF.

  • To work with the data in a spreadsheet program (such as Excel), click CSV to download an Excel-compatible file.
