How to Run Student Attendance Reports (Sign-in, Hours, Absence)

This process walks you through how to view and filter student attendance reports, including detailed sign-in records, daily hour summaries, total hours, and absence records. You will learn how to filter by date, range, space, group, and individual student, and how to export data as a CSV file.

Step 1: Open the Student Sign-In Detail Report

Ensure you are in the Reports module, within the Attendance Reports area. From here, open the Student Sign-In Detail tab to begin working with detailed sign-in and sign-out records.

Step 2: Select a Date or Date Range and Apply

Within the Student Sign-In Detail tab, choose whether you want to view a single date or a date range (for example, a week or a month). Select the specific date or choose the date range.

Click the Apply button to load the records.

Once applied, a list of records will display, including each child’s last and first name, the date, time of the action, the action (sign-in or sign-out), the space where the child was signed in or out, the staff member who authorized the sign-in/sign-out, and who picked up or dropped off the child.

Step 3: Open and Edit a Specific Attendance Record

To see more information about a particular entry, click on the specific record in the list.

You will be taken directly to that child’s attendance details, where you can open each action to view more information and edit it if required.

Step 4: Filter Sign-In Detail by Space

You can narrow the list to only show records from a particular space. Choose the desired space from the space filter by selecting the space you wish to filter by, then click the Apply button to refresh the report with only that space’s records.

You can also refine the data further using the filter options on each column, such as filtering to show only sign-in times.

Step 5: View Sign-In Details for a Specific Student

To focus on an individual child’s sign-in details, select the child from the students list.

After selecting the student, click Apply to filter the report to that student only.

Step 6: View the Daily Student Hour Summary

To review hours by day, open the Daily Student Hour Summary view.

Here, you can again select a single date or a date range. Choose your date or date range, then click Apply to load the summary.

The report will display each child’s first and last name, their total attended hours at the top, and the hours broken down by each date within the selected range.

You can scroll through the list and click on an individual record if you need more detail.

This will allow you to view additional information about that specific day.

Step 7: Review Total Student Hours in the Student Hours Overview

Next, click the Student Hours Overview tab.

This tab functions similarly to the daily summary, but instead of showing hours by date, it shows the total attended hours for each child over the selected period.

At any point on this tab, you can filter by a child’s name to quickly find a specific student.

You can also click the CSV icon in the bottom-left corner of any of these reports to download an Excel-compatible spreadsheet for further analysis or record-keeping.

Step 8: Open and Filter Child Absence Records

To review absence records, go to the Attendance tab.

Select the date or date range for which you want to view absences, then click the Apply button to load the data.

A list of all absences will display, and you can scroll to view more information for each child, including the program they are in (for example, preschool or out-of-school care), the school they attend if applicable, and any other important details.

You can further filter absence records by group. Select the group you wish to filter by, then click Apply.

This will display only the children in that group, which is especially useful for quickly reviewing all recorded absences for a particular day.

Finally, you can download the absence list as a CSV file for printing or offline reference.
