How to Run the Incident Report Log

This document explains how to access, filter, and download incident or accident reports from the Safety Reports module, and where to view additional attendance details related to each incident.

Step 1: Open the Safety Reports Module

Ensure you are in the Reports module. Navigate to the Safety Reports tab.

Then click the Incident/Accident Log tab.

Step 2: Choose How You Want to View Incidents

Decide whether you want to view incidents or accidents for a single day

or by a date range, such as a year, month, or a custom date range.

Step 3: Apply the Date Range

Select the date range you wish to view.

Then click the Apply button.

A list will appear showing all incidents or accidents that occurred within the selected date range.

Step 4: Review Incident Details

Use the horizontal scroll bar to view additional details for each record, such as:

  • Description

  • Who was present

  • Resolution

  • Who observed the incident

  • Location

Step 5: Filter Results by Group

If you would like to narrow the list further by childcare group, click the Group dropdown arrow.

Select the group you wish to filter by.

Then click the Apply button again.

The list will refresh to show only incidents or illnesses for that specific group, including the description, title, resolution, and other required information.

Step 6: Download the Incident List as CSV

Click the CSV icon in the bottom left corner of the screen to download an Excel-compatible CSV file of the incidents.

Step 7: View Additional Attendance Details (Optional)

To see more detailed informationβ€”such as who was in the room at the time of an incidentβ€”Open the Attendance Reports, then filter by the date and time of the incident or accident to view relevant attendance details. These reports are especially useful during routine checks and audits.
