How to Run Staff Attendance Reports (Sign-in & Hours)

This document explains how to view, filter, review, and export staff sign-in details and daily staff hour summaries within the Reports module. Follow the steps below to generate accurate attendance information and download it for further analysis.

Step 1: Open the Staff Sign-in Detail Report

Ensure you are in the Reports module and within the Attendance Report section. Navigate to the Staff Sign-in Detail tab.

Step 2: Select a Date or Date Range and Apply

Choose either a specific date or a date range (for example, a week or a month).

After selecting the desired date or range, click the Apply button to load the results.

Step 3: Review the Staff Sign-in Detail Results

After applying the filters, a list of records will appear. Each record includes:

  • Staff member’s first and last name

  • Date

  • Time of the action

  • Action type (e.g., sign-in or sign-out)

  • Space/room where the action occurred

  • Authorized by (who approved or recorded the action)

  • Notes (if any)

  • Task performed (e.g., childcare)

  • Daily total hours

You can click on any record to open more detailed information for that particular staff member. From the detail view, you can review and edit the record as necessary.

Step 4: Filter Sign-in Details by Space or Staff Member

You can further narrow down the list using filters:

  • Filter by space

  • Or filter by staff member.

After setting your filters, click the Apply button to refresh the results. The list will then show only the records matching your selected space or staff member.

Step 5: Export Sign-in Details to CSV

At any time, you can export the displayed records by clicking the CSV icon in the bottom-left corner.

This will download the data as an Excel-compatible CSV file.

Step 6: Open the Daily Staff Hour Summary Report

Next, navigate to the Daily Staff Hour Summary report.

This report can also be filtered by a specific date

or a date range (such as a week or month).

Make your date selections and then click Apply to generate the summary.

Step 7: Review Daily Staff Hour Summary Details

The Daily Staff Hour Summary shows total hours per staff member per day. You can scroll horizontally to see additional columns, including:

  • Typical break

  • Typical shift start and end times

  • Total hours by category (e.g., admin, prep, childcare)

You can click on any record to view more detailed information or download the summary as a CSV file.

Step 8: Adjust Columns and Grouping in the Summary Report

If you click the Settings icon, you can:

  • Select or deselect which columns to display

  • Reorder columns (for example, placing first name before last name)

Any changes you make are reflected immediately in the report.

You can also choose to group the results by staff member to make comparison and review easier.
