How to Download or Email Invoices, Receipts & Statements

This process explains how to preview, download, and email statements, invoices, and receipts from the Finances module. You will learn how to access each document type, send them to sponsors or custom email addresses, and add memos when needed.

Step 1: Open the Billing Section and Preview a Statement

In the Finances module, navigate to the Billing column. Click the Preview Statement icon to open the family’s billing statement.

Step 2: Download or Email the Statement

From the statement preview screen, you can either download a PDF of the statement or email it directly to a sponsor.

You may select one of the parents or sponsors as the recipient. You can also enter a custom email address. When you are ready, click the Email PDF button to send the statement. This will redirect you to your email provider, where you can finalize and send the email with the attached PDF.

Step 3: Preview an Invoice

In the Invoices and Credit Memos column, click the Preview Invoice icon to open a specific invoice.

Step 4: Download or Email the Invoice

From the invoice preview, you can view the invoice details, download the invoice as a PDF, or email the PDF.

The statement shows an overall summary, while each invoice reflects the exact amount invoiced to each sponsor.

Step 5: Email Invoices to Grants or Other Recipients

If you need to email an invoice to a grant or another third party, ensure that an email address for that recipient is on file in the system. You may then select that email when sending the invoice.

Step 6: Preview a Receipt

To view a payment receipt, click on the Preview Receipt option associated with the relevant invoice, in the Payments & Refunds/Credits column.

Step 7: Download or Email the Receipt

From the receipt preview, you can view the receipt details, download a PDF copy, or email the receipt. Receipts can be emailed to any of the sponsors listed for that family.

Step 8: Add a Memo to a Statement, Invoice, or Receipt

If you need to include additional information, you can add a memo to a statement, invoice, or receipt. Enter your note in the memo field provided on the document screen, then click Save to apply the memo.
