An Overview of the Miscellaneous Reports Available

This guide outlines how to use the Miscellaneous Reports section in ChildFriendly to access and filter key operational reports, including student and staff birthdays, age changes, certifications, directories, agreements, permissions, and prospective inquiries.

Step 1: Access the Miscellaneous Reports Section

Ensure you are in the Reports module, then open the Miscellaneous Reports tab to view the list of available reports, such as student and staff directories, agreement signed, onboarding support, and more.

Step 2: Use the Student Age Changes Report

The Student Age Changes Report lets you see a list of children whose ages change within your set dates.

  1. Adjust the dates and click Apply.

  1. Review the results to see each child’s previous age and new age as of the birthday listed. If needed, download the report as a CSV from the bottom-left corner for use in Excel or other tools.

Step 3: View and Filter the Student Birthday Report

Open the Student Birthday report to download or view birthdays for a selected period or month.

  1. Select the date or date range you are interested in and click Apply.

  2. If required, further filter the report by group.

  3. Use this report to see when each child’s birthday occurs so you can plan celebrations and communications.

Step 4: Use the Staff Birthday Report

  1. Open the Staff Birthday report, s.

  2. Select the desired date range.

  3. Click Apply to view staff members with birthdays in that period.

This report works similarly to the student birthday report and can help you plan staff acknowledgments.

Step 5: Monitor Staff Certification Expiry

Open the Staff Certification Expiry report to track upcoming expirations for certifications such as CPR, criminal record checks, intervention checks, and first aid.

  1. Adjust the date range to cover the period you want to monitor.

  2. Click Apply.

  3. Further refine the results by filtering by status (inactive, active, or future staff) or by which childcare group the staff normally belong to.

  4. Review each staff member’s information and scroll across the report to see when each certification or review is due to expire.

Step 6: Generate the Student Directory Report

Open the Student Directory report to see an overview of students, their family portal members, and emergency contacts.

  1. Adjust the date range, groups, or current status (for example, show only current students).

  2. Click Apply.

Review details such as the child’s name, birth date, gender, program, portal members, emergency contacts, and more. Download the report as a CSV if you need an Excel-compatible spreadsheet.

If required, further filter the directory by group so that you only see current students in a specific group.

Step 7: View the Staff Directory

Open the Staff Directory report to view staff details, including name, email, start date, address, and additional information as configured in your system.

Use this report for quick access to staff contact and profile information.

Step 8: Review the Member PIN Report

Open the Member PIN report to download or view all members who have been assigned a PIN for kiosk sign-in and sign-out (if kiosk use is enabled at your center).

Use this report to verify who has PINs and to support troubleshooting for sign-in issues.

Step 9: Track Signed Agreements

  1. Open the Agreements Signed report to monitor which agreements parents have signed.

  2. Filter by agreement type, such as pre-authorized debit or payment agreement.

  3. If needed, further filter by group, then click Apply to generate the list.

  1. To focus only on children whose parents still need to sign an agreement, select the option to hide all children with the agreement already signed, then click Apply again.

TIP: Use the settings icon at any time to add or remove columns and to adjust column order (for example, show last name before first name).

Step 10: Use the Permission Consent Report

Open the Permission Consent report to see any consents such as which children have consent to appear in photos and other permissions you have configured.

Review the consent statuses.

Use this report to ensure staff comply with each child’s documented permissions. Multiple different consent types can be added and tracked as required.

Step 11: Manage Prospective Parent Inquiries

  1. Open the Prospective report to keep track of parents who have expressed interest in your program by submitting their information.

  2. Click the Apply button to generate the list of inquiries.

  3. Download the results as a CSV if you want to review or follow up on inquiries outside the system.
